Privacy Policy

Effective date: October 9, 2026

Donner Pass Insurance Services (“DPIS”) is a trade name of Trucoop, Inc., an independent insurance agency based in Truckee, California, serving clients in California and Nevada. We take the handling of client information seriously. This policy explains how information may be collected, used, disclosed, and protected when you visit our website, contact us, or request insurance services.

This website policy is not a substitute for any separate privacy notice or rights provided under federal or state insurance privacy laws. Additional insurance-specific notices may apply when you apply for coverage or become a client.

1. Information We Collect

The information we receive depends on the reason you contact us. It may include:

  • Contact and identification details, such as name, phone number, email address, mailing address, and relevant business or household contacts.
  • Property, vehicle, and business details, such as location, construction, occupancy, rental use, operations, drivers, employees, payroll, receipts, or other exposure information needed for insurance.
  • Insurance-related information, such as existing coverage, applications, policy documents, claim or loss history, underwriting questions, photographs, and files you choose to submit.
  • Information from insurance carriers, wholesale brokers, insurance support organizations, public records, and other sources used to evaluate or service insurance requests.
  • Website technical data, such as IP address, browser/device characteristics, pages viewed, referral information, and cookie or analytics data.

Please do not enter Social Security numbers, passwords, bank account numbers, payment-card numbers, or other highly sensitive information in ordinary website forms or general email unless we specifically arrange an appropriate method for the transaction.

2. How We Use Information

We use information to respond to inquiries; assess insurance needs; obtain and compare quotes; submit applications; place, service, or renew coverage; communicate with you and underwriting partners; maintain records; protect our website and systems; and comply with legal, regulatory, and contractual obligations. We may also evaluate website performance and improve the agency’s services.

3. When Information Is Shared

Insurance work may require us to provide relevant information to insurers, managing general agents, wholesale brokers, program administrators, insurance support organizations, claims and inspection providers, and others involved in the requested transaction. We may also use service providers for website hosting, email, document storage, security, analytics, software, and administrative support. Information may be disclosed when authorized or required by law, including to regulators or in response to legal process.

We do not sell lists of insurance applicants or clients to unrelated data brokers for their independent marketing. Third-party websites and embedded services may have their own information practices; review their notices before using those services.

4. Artificial Intelligence and Technology-Assisted Work

DPIS may use artificial intelligence (AI), automation, and similar technology-assisted services to organize and summarize documents, help research insurance options, draft communications, and support administrative workflows. When used for these tasks, information relevant to the work may be processed by outside technology providers. Provider handling, retention, and potential uses of submitted information depend on the service and its applicable terms and settings.

AI-generated material can be inaccurate and is subject to agency review before use in client-facing insurance work. AI tools do not themselves bind insurance coverage or issue policies for DPIS; coverage decisions and binding authority remain with authorized insurance parties. If you have questions or concerns about AI-assisted handling of information, please contact us so we can discuss an appropriate way to work with your request.

5. Documents and Communications

Our website may offer a Microsoft-hosted secure file-request link for insurance documents. Files submitted there are directed to our designated Microsoft business storage service rather than intended for public display on the website. Email and online transmissions carry some risk; no internet system can be guaranteed completely secure. Please use the requested secure-upload method for documents rather than sending sensitive attachments through ordinary email when practical.

6. Cookies, Analytics, and Third-Party Tools

Our site may use cookies and similar technologies for website functionality, security, analytics, and performance measurement. Services such as Google analytics tools, embedded insurance quoting or enrollment services, and other external content may collect technical or usage data and may set their own cookies. Their processing is governed by their applicable privacy notices.

California Do Not Track disclosure: Our website is not currently configured to treat a browser’s “Do Not Track” setting, by itself, as a request to turn off all tracking. Third-party services may collect information about browsing activity on our site and other websites or services, subject to their own policies. You can manage some cookies and tracking through browser/device settings and third-party privacy tools. This does not limit any rights that apply under law.

7. Information Security and Retention

We use administrative and technical measures intended to reduce the risk of unauthorized access or disclosure. Access to client information is limited according to legitimate business needs. We retain information for periods consistent with insurance servicing, recordkeeping, legal and regulatory requirements, dispute resolution, and other legitimate business needs; retention varies by record type. No method of electronic storage or transmission is completely risk-free.

8. Your Choices and Privacy Rights

You may contact us to ask what information we maintain about you, request correction of inaccurate information, ask about the sharing or use of information, or inquire about rights or choices available under applicable law. Some insurance, financial, legal, and recordkeeping requirements may limit particular requests. We may need to verify your identity before acting on a request.

California and Nevada insurance privacy laws, and other applicable laws, may provide additional protections and notices. We will address requests under the rules that apply to the relevant information and transaction. To opt out of optional agency marketing communications, contact us using the information below.

9. Other Websites and Services

Links to carrier portals, payment pages, underwriting platforms, document services, and other third-party websites lead to services we do not control. Their own privacy policies and security practices apply to information you provide directly to them.

10. Children’s Privacy

Our site and insurance review services are not directed to children under 13. We do not knowingly solicit personal information directly from children under 13 through this website. Parents and guardians may contact us about information involving their children.

11. Updates to This Policy

We may revise this policy as our practices, technologies, or legal obligations change. Updated language will be posted on this page with a new effective date. Please revisit this page periodically.
